Privacy policy

Applying for a visa requires identity documents. This page explains exactly what we do with them.

Techkaro Private Limited is registered at B1/H3, Industrial Area, Block B, Mathura Road, Mohan Cooperative Industrial Estate, New South East Delhi, Delhi, 110044, India.

What we collect

• Identity data: name, date of birth, gender, nationality, passport number and expiry.
• Documents: passport scans, photographs and any supporting papers the destination requires.
• Contact data: mobile number and email address.
• Trip data: destination, travel dates and party size.

Why we need it

To complete and submit your visa application, and to contact you about it. We do not sell personal data, and we do not use your documents for advertising.

Who we share it with

• The immigration authority of your destination, which is the purpose of the service.
• Our payment gateway, which processes your card details directly. Card numbers never reach our servers.
• Communication providers who deliver your one-time codes and email.

How long we keep it

Documents you save to your vault are kept for 730 days so a future application does not require re-uploading them, unless you delete them sooner. You can remove any document from your account at any time. Application records are retained as long as we are required to for tax and legal purposes.

The legal basis for holding it

We process this data because it is necessary to perform the service you asked us for, and, for identity documents, because you have given us consent by uploading them for a named application. You may withdraw that consent at any time by deleting the documents from your account, though we cannot continue an application we no longer hold the papers for, and an application already filed cannot be recalled.

Where it goes

Our servers are in India. Your data leaves the country only where the destination you have chosen requires it to: filing a visa means transmitting your documents to that country's immigration authority, which is the entire point of the service and is done on your instruction. We do not transfer personal data anywhere else.

Automated processing

We read the machine-readable zone of an uploaded passport to fill in your name, date of birth and passport number, and we check photographs against the destination's size and background rules. Both are conveniences, and both are shown to you for correction before anything is submitted. No decision about your application is made automatically. A person reviews every file before it is filed.

Cookies

We set a session cookie to keep you signed in and a security token to protect forms against cross-site request forgery. Both are strictly necessary for the site to work and neither is used to track you across other sites. We do not run third-party advertising trackers.

Your rights

• Access: ask for a copy of the personal data we hold about you.
• Correction: have anything inaccurate or incomplete corrected.
• Erasure: have your data deleted, except where we are required by tax or anti-fraud law to retain a record of a transaction.
• Withdrawal of consent: for anything we hold on that basis.
• Grievance: escalate to our grievance officer, and from there to the Data Protection Board of India, if you are not satisfied with our answer.

Write to us and we will respond within 30 days.

Security

Documents are stored on private storage and are never publicly addressable. There is no URL that serves one without authentication. Access requires both a signed, expiring link and a signed-in session belonging to the document's owner. The site is served over HTTPS throughout, sign-in is by one-time code rather than a reusable password, and staff access to applications is limited by role and recorded in an audit log.

Children

Accounts are for adults. Where a visa is being obtained for a child, their details and documents are supplied by a parent or legal guardian from that adult's account, and are held under this policy in exactly the same way.

Changes to this policy

If we change how we handle personal data in a way that affects you, we will tell you by email before the change takes effect, and not quietly amend this page.
